FieldRock is field-service software made by WiredByFriday. Companies use it to run their jobs, customers, estimates, invoices and technicians. This policy covers the FieldRock website, the web app, and the FieldRock apps for iPhone and Android.
Two kinds of information are in FieldRock. Account information belongs to the people who sign in. Company information — a company’s customers, jobs and invoices — belongs to the company that entered it. For company information, the company decides what goes in and FieldRock processes it on the company’s behalf. If you are a customer of a company that uses FieldRock, contact that company about your information.
What we collect
- Account details: your name, email address, phone number if given, role, profile photo if you add one, and your password, which is stored only as a one-way hash.
- Company information entered by its users: customer names, addresses, phone numbers and email addresses, job details and notes, photos taken on jobs, estimates, invoices, payment records and maintenance agreements.
- Messages sent through FieldRock: the emails and texts a company sends its customers, and a record of each one (recipient, time, status).
- Payments: card payments are taken on Stripe’s own checkout page. Card numbers never reach FieldRock; we receive the amount, the status and a reference.
- Technical information: your IP address, used to slow down repeated sign-in attempts, and error reports (the page and the error message) so we can fix problems. We do not use advertising or cross-site tracking.
- Google Calendar, if you connect it: the email address of the Google account you connect, and the access Google gives us to add events to your calendar. See Google Calendar and Google user data below.
- Cookies: one cookie keeps you signed in, and one remembers that you are using a FieldRock app. Your light or dark theme choice is kept in your browser.
How we use it
To provide FieldRock: signing you in, showing your company’s work to the people it chooses, sending the emails and texts your company asks us to send, taking payments, billing companies for their subscription, keeping accounts secure, and fixing faults. We do not sell personal information, and we do not use it for advertising.
Google Calendar and Google user data
Connecting Google Calendar is optional and each person chooses it for themselves, under Settings → Integrations in the office app or My account in the field app. Google shows you what FieldRock is asking for and you can say no.
What FieldRock asks Google for. Your Google account’s email address, so the app can show which account is connected, and permission to see, create, change and delete events on calendars you own.
What FieldRock does with it. It adds an event to your calendar for each visit you are assigned to (or, if you ask for it, each of your company’s visits), changes that event when the visit is moved or reassigned, and deletes it when the visit is cancelled or you are taken off it. It only ever creates, changes and deletes the events it made itself. It does not read, copy or store your other events, your contacts or anything else in your Google account.
What FieldRock stores. The connected account’s email address, the access and refresh tokens Google issues (encrypted before they are stored), and the identifiers of the events FieldRock created, so it can update or remove them later. Nothing else from Google is kept.
Who it is shared with. Nobody. Google user data is not sold, not shared with other companies, not used for advertising, and not used to develop, improve or train artificial-intelligence or machine-learning models. People at FieldRock do not read it, except with your permission to fix a problem you have reported, for security purposes, or where the law requires it.
Disconnecting and deleting. Choose Disconnect in the same place you connected. FieldRock removes the events it created from your calendar, tells Google to cancel its access, and deletes the stored tokens and email address straight away. You can also remove FieldRock’s access from your Google account at myaccount.google.com/connections. Deleting your FieldRock account deletes the connection with it.
FieldRock’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
Who processes it for us
We use these providers to run FieldRock. Each receives only what its part needs.
- Our hosting provider and managed database provider, which store and serve the app and its data.
- Cloudflare, if photo storage is enabled, which stores job and profile photos.
- Resend, which delivers email.
- Twilio, which delivers text messages.
- Stripe, which processes card payments and subscriptions.
- Google, for two things: address lookup and street pictures (the address being typed is sent to Google Maps Platform), and Google Calendar for the people who connect it, as described above.
We may also disclose information when the law requires it.
How it is protected
Connections are encrypted. Each company’s data is kept apart by the database itself, not only by the app. Photos are never on public links: they are shown only to signed-in people in the company that owns them.
How long we keep it
We keep information for as long as the account or company exists. When it is deleted, it is removed from the live database straight away. Copies can remain in encrypted backups for up to 14 days, and in our database provider’s recovery history for up to its configured window, after which they are gone. Payment records held by Stripe are kept by Stripe as the law requires.
Deleting your information
You can delete your own account at any time in the app: Your account in the office app, or My account in the field app. An owner can delete the whole company there too. See how to delete your account for the steps, including what to do if you can no longer sign in.
Children
FieldRock is a business tool and is not directed at children.
